  1.  FIAV Program Assistant

EFFECTIVE DATE:    8/1/2018 

POSITION TITLE:           Program Assistant

POSITION STATUS:       Part-time – 20 hrs/wk; scheduling dependent on work load and calendar proximity to events; Non-exempt

PROGRAM:                  Faith in Action Volunteers (FIAV)

SUPERVISOR:            FIAV Program Director


PURPOSE OF POSITION
: Receives general supervision.  Supports the smooth operation of Faith in Action by coordinating the Shopper Program and assisting with both Faith in Action and Ramp It Up office administration.  Provides organizational and operational support in the development and execution of fundraising events for Faith in Action programming.

JOB RESPONSIBILITIES:

  • Assist with the general operation of the FIAV offices:
    • Co-ordinate volunteers for program services
    • Answer questions regarding program services on the phone and by email accurately and professionally
    • Conduct FIAV new client phone intake interviews
    • Prepare mailings and emails to clients, volunteers and sponsors related to programing and events
    • Enter information into data base and generate reports
    • Maintain accurate and up-to-date records and files
    • Support the scheduling office as needed by answering the phone, taking messages and adding appointments to the data base.
    • Assist with fundraising events by attending committee meetings, coordinating venues and sponsors and assisting in preparation of printed event materials
    • Prepare meeting agendas and meeting minutes
  • Other duties as assigned

QUALIFICATIONS:

Good verbal and written communication skills.

  • Organization and the ability to meet multiple concurrent deadlines
  • Capable of working independently or as part of a team, demonstrating flexibility, adaptability and dependability
  • Outstanding customer service and professionalism at all times
  • Detail-oriented with the ability to balance several tasks at one time
  • Must be able to think and respond quickly to offer solutions to problems/issues in an efficient manner
  • Strong computer skills, including, but not limited to:  Outlook, Word, Excel, Publisher
  • Valid NYS drivers license desirable

 WORK SETTING:

          Office setting with occasional event locations.  When required, needs to be able to spend significant amounts of time at a desk on the computer or telephone.

 

2.  Work Advocate

EFFECTIVE DATE:                2/19/2018 

POSITION TITLE:             Work Advocate

POSITION STATUS:            Full-Time, 35/week, Non-Exempt

PROGRAM:                           CHOW /Broome Bounty

SUPERVISOR:                      CHOW Director                      

PURPOSE OF POSITION: Acts as a liaison to ensure job trainees have access to required services, tracks progress of each trainee and ensures effective and efficient communication about trainee progress to BCDSS and other community partners.

Trainee Advocacy:

  • Provide professional and prompt responses to inquiries from applicants and BCDSS
  • Improve and administer the professional process for tracking and reporting trainee progress
  • Ensure that every communication is focused and in line with our Vision, Mission and Values
  • Gain thorough knowledge of existing community services to increase each trainee’s chance to gain employment and work towards self-sufficiency
  • Schedule and provide individual case management for each trainee

Programming:

  • In partnership with the CHOW Director, develop, monitor, track, report and enhance all aspects of trainee application, orientation, job skills training progress and the obtainment of employment
  • Develop and maintain a positive working relationship with all BCDSS staff, trainees and those associated with the Council
  • Assist trainees with obtaining supportive services as required
  • Assist trainees with working in CHOW/Broome Bounty warehouse
  • Facilitate Work-Readiness programming

Compliance: 

  • Ensure that all BCDSS contractual obligations are met and that the systems for compliance are up-to-date
  • Ensure proactive communication regarding trainee progress
  • Ensure that all local, state, and federal safety standards are in compliance
  • Ensure that all BC3 policies and procedures are adhered to
  • Ensure BC3 and BCDSS resources are used in an efficient manner
  • Other duties as assigned 

Qualifications: 

  • The ability to create and maintain a trainee focused environment that recognizes the strengths and abilities of each trainee
  • The ability to appreciate and recognize the strengths of other team members and work together in a non-threatening manner
  • Requires experience and/or willingness and ability to fully implement a comprehensive approach to managing the CHOW Works Program
  • Ability to interpret regulations associated with the CHOW Works RFP
  • Ability to become familiar and functional with community resources
  • Ability to work with a diverse trainee population
  • Ability to maintain a laser focus on ensuring trainee progress in Job Search, wellness, employment and self-sufficiency
  • Ability to have empathy for those that we serve while ensuring that they make progress towards self-sufficiency
  • Higher Education is preferred

Work Setting: 

  • Will work in an office, warehouse and community settings. May involve nontraditional work hours and work weeks
